Why a Clear Inquiry Matters

A detailed product inquiry helps suppliers understand what the buyer actually needs and reduces unnecessary back-and-forth. It also makes quotations easier to compare because the same core requirements can be presented to each potential supplier.

Information to Include

Product or category: identify the exact product where possible.

Specification or grade: include technical, quality, variety, size or grade requirements.

Quantity: state the required unit and whether it is a trial, one-time or recurring requirement.

Packaging: specify bulk, retail, carton, bag, bottle or other required format.

Labeling/private label: explain branding or label needs where applicable.

Destination: state country and, where useful, port or airport.

Delivery requirement: provide the preferred timeline without assuming it can be guaranteed.

Quality expectations: include relevant parameters or buyer standards.

Documentation: list documents or testing information required where applicable.

Target price: include it only if useful, and explain the expected commercial basis where known.

Separate Requirements from Preferences

Buyers should distinguish mandatory requirements from preferred options. This allows suppliers to identify whether they can comply exactly or whether an alternative needs to be discussed.

Ask for Clear Commercial Information

A useful quotation should identify the product, quantity, packaging, pricing basis, MOQ, lead-time information, payment terms, available documentation and important assumptions. If anything is unclear, clarify it before comparing offers.
